What personal data we collect and why we collect it
The Friends of Tewkesbury Abbey is a Member organisation and contact details for Members are held for the purposes of communication with Members and to maintain records of subscriptions and donations. To comply with the requirements of HMRC this data may be held beyond the time of active membership, for example where money has been received under a Gift Aid arrangement.
Member details are not processed through the website www.friendsoftewkesburyabbey.org.uk but booking for an event may request an email address to be provided. This information is used only for the purpose of event administration.
A Member may opt out of receiving communication from the Friends, or select to only receive information in certain ways (e.g. by email but not by telephone). A Member may update these preferences at any time. A Member may resign their membership and request that all personal data be removed, however the Friends may need to continue to hold some personal details for a period of time to continue compliance with the legal requirements of HMRC and the Charity Commission.
The Friends of Tewkesbury Abbey uses an internet server for the maintenance and processing of member contact information. The membership database is encrypted and held on UK servers accessed through our web-host, Kualo.com, and is not linked to the Friends’ public website. An emailing database is processed through Mailchimp, please click these links to consult their Privacy Policy and Terms of Use. Access to all data is password protected and restricted to the following Officers of the Friends’ Council: Chair, Secretary, Treasurer and Young Friends’ Co-ordinator.
Hard copies of data, for example Membership Application Forms and Gift Aid Declaration forms, are held securely in one location by an Officer of the Friends.
Officers for the Friends may have some personal contact information held by our webhost, for the purpose of determining domain ownership and registration, and also for the provision of a webmail service to the Friends. The webhost’s legal policies may be consulted via this link.
